April 28th, 2020 PTA General Meeting Minutes

General Meeting
April 28, 2020

Attendees
The meeting was called to order at 6:02 pm on April 28, 2020, by President Jessica Christiansen. Board Members present
Kathy Jennings, Michelle Marsden, Heather Kramer, and Annie Lindekugel via Zoom.

Motion to approve minutes from April 14, 2020. Alyssa Maxwell motioned to approve. Kathy Jennings seconded.

There is a surplus of $15,500 this school year. Kathy Jennings covered outstanding reimbursements from Girls Night Out.
A full reimbursement for all GNO will cost about $1,000. We look to have $14,000 to spend this year. The PTA gives the
library $1,000 dollars for books. The 6th grade summer ice cream social has a budget of $500. The PTA pays for rolling the
locker combination forward ($250) gift cards which will be moved to the next years budget.

No additions/changes to this meeting agenda were requested.

Review budget – 2019-20 financial commitments

  • GNO maximum potential expense to be incurred $981.
  • Surplus expected to be in excess of $14,000.

2019-2020 Budget
Expenses not yet incurred due to shortened “in building” school year to be carried over to 2020-2021 budget included in
Summer funding letter.

  • Chromebook Purchase Proposal
    • Ms Parrot’s Cart:
      Ms. Parrott’s cart is full of old Lenovos that are starting to fail. We’d like to purchase a new cart with
      Chromebooks for her classroom. Ms. Parrott’s old Lenovos would go into the office for use by
      Math/Science/Electives. Cost: $11,640.
      Vote to approve the Chromebook Purchase proposal as outlined in Treasurer’s Report. Michelle Marsden
      motioned to approve purchase of Chromebooks. Kelly Skelton seconded. Unanimous consent to purchase Chromebooks.
    • Office Cart:
      There is an empty cart in the office. If we were able to purchase Chromebooks to fill that cart, it would be used for
      Math/Science/Electives. Currently there is a lot of competition for the available cart. Cost for 36 Chromebooks:
      $9,936. (Motion needed to approve with balance of surplus and withdrawal from our reserve funds.) Alyssa
      Alissa Maxwell motioned to purchase the Chromebooks. Kathy Jennings seconded. Unanimous Consent to
      purchase Chromebooks.

New Business

  • Vote to approve Kevin Wagoner as PTA Board Treasurer for 2020-21 starting July 1, 2020. Kathy Jennings
    motioned Keven Wagner to replace Kathy Jennings for 20-21 school year. Michelle Marsden seconded.
    Unanimous consent for approval.
  • Staff Appreciation fruit boxes. Vote to approve cost remaining after donations (if necessary). The donations were
    privately funded because the PayPal app was not working.
  • PTA Board officer transition plan. Typically there would be a summer board meeting, but this year, we are
    handling hand off on an individual basis.
  • New Jackson PTA Board Members elected to serve from July 1, 2020 to June 30, 2021:
    President: Heather Miller
    Vice President: Shannon Kandel
    Secretary: Stephanie von Ahlefeld
    Membership: Kelly Skelton
    Volunteer Coordinator: Kristen Beauchamp

    *As approved by membership via email vote tallied on April 5, 2020, the Jackson PTA Board met via Zoom on April 6,
    2020 and confirmed Kevin Wagoner as Treasurer, and a membership vote will be taken at this meeting. Further, the
    current Treasurer will be held-harmless for good faith efforts to transition documents and authority to Kevin Wagoner as
    though he has been approved by general membership.

Principal’s Report
Grading, Online Learning, Staffing Budget, Building

  • Building – the school is mapping out how they can open up the school for the kids to pick up locker items safely.
    It will be soon and a very strict/ safe process.
  • Online Learning – up and running, scheduling predictability is in place, on track for a common understanding
  • Grades – We are now moving into new content, so students need to make sure they continue their work and
    have solid foundation of concepts. The teachers will spend more time on fewer standards. Third quarter grades
    are due this Friday. Grading for fourth quarter will be pass or fail. Grade up through March 13, counts. You can
    improve your grade with the work that you do until June 5th 2020. Big feature of state plan was the District is to run
    the show.
  • Staffing Budget – This pandemic will have an impact on school budgets. Mitigating factors include federal money
    to come to PPS. Looking at major budget cuts. School budgets have frozen. We may not hire for any future
    positions until July. There is still so much is undecided and more federal funding to come.
  • 8th Grade Graduation – Working on putting together a plan for 8th graders to celebrate the students.
  • Ice Cream Social – Projected save the date for incoming 5th graders.

March 3rd, 2020 PTA General Meeting Minutes

March 3, 2020

The general meeting was called to order at 6:35PM on March 3, 2020 by President Jessica Christiansen. Board members Jessica Christiansen, Michelle Marsden, Kathy Jennings, and Kristen Beauchamp were present.

Introductions of the people present were done.

Preliminary Business
The February meeting minutes were not available, so they will be approved at the April 7th meeting.

Only one addition/change to the Meeting Agenda – One additional announcement by Michelle Marsden.

Guest Patty McMahon came to update us on the SWNI grant for SUN for which the PTA wrote a letter of support in January. A $2,000 grant was given for “Code Squad” computer class. It will start for Spring term.

Treasurer’s Report
We received our Amazon Smile check for about $120.
Checking balance – $44,783.49
Savings balance – $45,075.27

New Business
President Jessica Christiansen reported that SUN funding was reviewed by Elley Cannon, and their revised budget is fine for now. No ask from the PTA at this time.

Volunteer Coordinator Kristen Beauchamp reported that the March Staff Appreciation event will be led by Julie Worley and the date is TBD. 

Vice President Michelle Marsden reported that we will be donating a basket to the Oregon PTA Conference in April for their raffle that benefits teacher scholarships. A theme of “Berstein Artful Learning” was suggested. In addition to a student-made birdhouse and notecards, she will be asking for donations of art supplies. 

Old Business
Jessica reported that a RAT Race Lead has been found. Kendra Rothert volunteered for the job. It will be a scaled back event this year with no lap count and fewer prizes. Volunteers needed that day to keep things moving. The event will be Thursday, April 30, 2020. Fundraising objective(s) still being clarified by Ms. Kosmala. The monies may be used for new tech for the re-done auditorium. Also, Chromebooks are still needed. PTA is waiting for final numbers and prices.

Kristen reported that our Pizzicato Dough for Dollars earnings are $579.00. Going forward, we can only schedule one event next year due to low turn-out at our two events this year. 

Michelle reported on updates to the PTA Board for 2020-2021. We have a Secretary! Need for President, Treasurer and Bash Lead are still urgent.

Committee Reports

Volunteer needs – End of the year needs to be discussed next time.

Boys’ Night Out – Not sure where things stand with the CUB the PTA offered to pay for. ($192.00) Event is on the school calendar for Saturday, May 9th. 

Principal’s Report
Ms. Kosmala was unable to attend. 

Announcements

    • The JMS Peer Helper-sponsored food drive will be March 16-20. Grades compete for the most pounds donated. The winning grade gets a patio popsicle party at lunch! Last year we collected 4,444 pounds of food, and this year our goal is 5,000 pounds! The food donated will benefit both the Jackson SUN pantry AND the Neighborhood House in Multnomah Village. Most needed items:

      • Soup packets (not cans)
      • Canned chicken and beef (not tuna)
      • Peanut butter
      • Jelly
      • Cereal
      • Oatmeal packets

• The Watershed Resource Center has another community project planned for the Jackson walking path on Saturday, March 14.  They will be planting native plants and removing ivy at the west end of the trail. Anyone interested in helping out meet on the trail at 9am that morning.

February 4, 2020

Introductions
The meeting was called to order at 6:32pm on February 4, 2020, by President Jessica Christiansen. Board Members present Kathy Jennings, Michelle Marsden and Heather Kramer. Kristin Beauchamp is absent. 

Preliminary Business
Marci Forbes motioned to approve minutes from November 2019 and January 2020. Stephanie von Ahlefeld seconded the motion. No additions or changes to the agenda were suggested. 

New Business

PTA Board Service for 2020-2021 We have all positions turning over next year except membership. It would be ideal to have these positions filled prior to the end of the school year 2020 (May), especially Treasurer and President.

Bash Committee Chair for 2020 – We are looking for a Bash chair for 2020-2021 school year. If we don’t have a person in place by March, the Board will move forward in securing a space, securing a deposit and will move forward with the beginning stages of event planning.
 
RAT Race Lead – Rat race will take place April 30th at JMS. We need a volunteer to lead this event.

Principal’s Report

Staffing –

Mid-year academic progress. The benchmark test is to test what kids don’t know, not what they know. The results will be released to teachers next week. This is an excellent guide for our teachers to see where they need to focus. If parents would like to see their child’s results, they need to request the results from both their Math and Reading teachers.

Announcement – Two of our 8th grade teachers are hoping to find a volunteer artist in our Jackson community to keep their Artful Learning project costs down. Specifically, they are looking for a parent volunteer who is also an artist that can teach a couple of lessons on color theory during the 3rd week of February. This is probably a two-day commitment. Please email Dave Molloy at dmolloy@pps.net if you’re interested in helping out.

New Business

  • PTA Calendar and Fundraising – Jessica Christiansen discussed the remaining PTA calendar for 2019-2020. Fundraising goals for the remainder of the year were also discussed with Principal Susan Kosmala’s input. 
  • Rat Race – discussion around what process will be used for this event took place.  
  • PTA Board Succession – Jessica recommends that we begin advertising board openings in February 2020 for the following 2020-2021 school year. 
  • Bash 2020 – planning for 2020-2021 school year Bash will begin in March 2020.

The meeting was called to order at 6:30pm on December 3, 2019, by President Jessica Christiansen. Board Members Kathy Jennings, Michelle Marsden, Heather Kramer, and Kristen Beauchamp were present.

Preliminary Business
Marci Forbes motioned to approve minutes from October 2019. Michelle Marsden seconded the motion. 

New Business
Jessica proposed to cancel January’s meeting. All members agreed.
Bird Houses – there are still some remaining. Jessica is looking into a place to store/display them for parents to purchase. Looking to put them up for sale on the website again 2020.

New Business

We need to begin discussing replacement of board members for fall 2020. Position will start in May of 2020. Eighth grade parents typically don’t serve on board. Jessica is stepping down as board president for 2020-2021. 

Neighborhood Community Trail Volunteer Day – neighborhood will help update this.

Principal’s Report – Susan Kosmala

  1. Social Service Fair was a great success. 
  2. Awesome Fun Night on 11/22/2019, 6:00pm – 8:30pm. We had over 200 students attend. 
  3. Conferences – many sixth-grade teachers had over 90% participation went. 
  4. Testing – January is testing season. Students will participate in the second of three benchmark assessments. It will give teachers a better understanding of what students have mastered in the areas of reading and math and what they still need to work on. This will give the teachers an idea of what the students are mastering and what needs to be retaught. This testing takes about three days out of the student learning time, which was a hard sell in the fall. The testing is open for the entire month of January, teachers will choose when the assessment will take place in their classrooms.  

The next PTA meeting is scheduled for 01/14/2020.

November 5th, 2019 PTA General Meeting Minutes

November 1, 2019

Introductions
The meeting was called to order at 6:30pm on November 5, 2019, by President Jessica Christiansen. Board Members Kathy Jennings, Michelle Marsden, Heather Kramer, and Kristen Beauchamp were present. Annie Lindekugel was absent and member Marci Forbes kept meeting minutes in her absence. All meeting attendees present at the start of the meeting were introduced. Meeting attendance sheet attached.

Preliminary Business
Approval of October meeting minutes was postponed. They will be approved at the next meeting.

Attendees were asked if they had any additions/changes to the meeting agenda. Michelle Marsden announced that WPPNA was approached by the Portland Watershed Council about a community project to add bark chips to the trail next to the creek on the edge of JMS property. Jessica agreed that the PTA will help advertise for volunteers for that project scheduled for January 11.

Treasurer’s Report  (Kathy Jennings)
Bank statements for September and October were available and reviewed. Per Kathy we are on track with our budget. There has been minimal recent activity, but things are expected with the Bash coming up next week. Current (as of 10/31/2019) balance of the checking account is $37,743.30. Current (as of 10/31/2019) balance of the savings account is $44,774.60. 

New Business
Awesome Fun Night is scheduled for 11/22/2019, 6:00pm – 8:30pm. Volunteers are needed (from 5:45pm – 9:00pm). Permission slips have been sent home (all students require parent/guardian permission to attend).

Old Business
Cookie Dough Fundraiser update – Kara Murray

  • Everything is finalized now, except the Blazer ticket distribution is still pending.

Pastini JMS Nights tally – Kristen Beauchamp

  • Check has been received for approximately $200.

Committee Reports
November volunteer needs – Kristen Beauchamp

  • Scholastic Book Fair (November 19th through conferences). Chair is Misty Plock.
  • Teacher Conferences/Staff Meals. The plan is to do breakfast and dinner on Monday and Tuesday. Kristen Beauchamp is coordinating Monday and Jenn Starr is coordinating Tuesday.

Bernstein Bash – Jessica Christiansen

  • Need staff to RSVP. Currently we have sold 128 tickets (17 of which are staff, who do not have to pay). 
  • We’ve sold 21 beach raffle tickets.
  • Currently we have catering planned for 150, but will likely increase since the ticket sales are close to 150 and we want to have plenty of food.
  • This year we will be selling bird houses (made by the kids in Mr. Maddox’s classes) and notecards (from the art students).
  • Volunteers are needed for set-up, during the event, and for clean-up.
  • Heather Miller has procured all of the desserts for the dessert dash, but she will need volunteers to help with pick-up and delivery to the venue.

Announcements

  • Donations were needed for the Bernstein Bash, but during the meeting all spots were filled!
  • SUN Food Pantry needs have been updated for the month. Please sign up for what you are able to donate and deliver by end of November. (https://volunteersignup.org/HR9RP) Items can be dropped in the SUN School classroom or in the office marked ‘SUN Pantry’. There will be an additional ask for single family donations for supplies needed over winter break for families in need. Thanks so much for supporting our community!                                            
  • At the December 3rd PTA meeting, Lisa Weiner of Handmade Parenting will give a presentation for parents on “Anxiety in Adolescents”.

Principal’s Report – Susan Kosmala

Student conferences are coming up and to get the most out of conferences come prepared to talk with student’s teachers about your child’s strengths. If your student is struggling, ask about support options. Conferences are arena style for most students, but teachers will reach out if they’d like to meet with you for a targeted (one-on-one) meetings. The book fair will be in the middle of the cafeteria space during conferences.

October 1, 2019

The meeting was called to order on October 1, 2019 @ 6:30 pm by President Jessica Christiansen. Board Members present are Kathy Jennings, Michelle Marsden, Marci Forbes, Kristin Beauchamp, Heather Kramer and Annie Lindekugel. Marci Forbes motioned to approve the minutes from September 2019 meeting Kristi Baack-Deazley seconded. Marci Forbes motioned to approve the agenda for the meeting and Kristi Baack-Deazley seconded. 

Treasurer’s Report
Checking – $53,781.72
Savings – $44,774.61

Updates:

The total income for cookie dough sales is $10,000 less than last year. 
Final venue payment for the Bernstein Bash has been made.
Board members approved the spending of $190 for Girls Night Out and Boys Night Out for this school year. 
Sun School received about $1200 in donation for their program to help make up the shortfall for this last year. 

Committee Reports:

Cookie Dough Fundraiser – Kara Murray

  • Pickup will be on Friday 10/4/19
  • Need assistance with both pickup and prize distribution day as well.

Fall Volunteer Needs – Kristen Beauchamp

  • Scholastic Book Fair – working on finalizing dates (potentially the week of conferences). Looking for a Scholastic Book Fair Lead. Will work with the librarian to schedule specific times, etc. The total amount will be 4 hours of time. 
  • Teacher Conferences/Staff Meal Lead – We are in need someone to take charge of organizing. This will take place in November.

Bernstein Bash – November 15th

  • We need to net $25,000 in one night for artful learning.
  • We need to get 6th and 7th grade families involved. We currently have a lot of 8th grade families that organize this event, but they won’t be here next year. 
  • Need assistance in advance of the event.
    • Need
      • Someone to collect donated beer and wine and wrap them for the beer/wine pull. Beer/Cider – 22oz bottles. Wine – $15 or more.
      • OLCC permit. We have the template for this, just need it to be solidified.
      • Wine to serve.
      • 1.5-2 kegs of beer.
      • Someone to ask Cascade brewing to get this donated.
      • Someone to update the mailing list for the Bash. Asking for restaurant gift cards and desserts. We are not looking for things, just gift cards. Kari will get the list from Stevenson so we can update this.
      • Desserts for dessert dash. New Season’s has sent a gift card. Baker and Spice has not responded. Bannings just sent gift cards. Cheesecake factory sent gift cards, so we might use one for this. Most of our asks in the past years have come from parents that have donated.
    • DJ – don’t specifically need a contract.
    • Décor – Beth is on for this. 
    • Bartender – Jessica Christian has secured.
    • Catering – Kari is organizing this with Silver Spoon Catering in NE Portland. Group voted on Gyro bar (no pork).

Membership – Heather Kramer

  • 120 members for PTA

September 3, 2019

The meeting was called to order on September 3, 2019 @ 6:44pm by President Jessica Christiansen. Board Members present are Kathy Jennings, Michelle Marsden, Kristin Beauchamp, Heather Kramer and Annie Lindekugel. Erin Lufkin motioned to approve the minutes from June 2019 meeting. Maria Wilcoxson seconded the motion.

Introductions

Treasurer’s Report – Kathy shared proposed budget for the 2019-2020 school year.

Below are the items the PTA financially supports annually.

Bernstein Bash – we raise $25,000 in reserve (net) to fund the next year.
Popcorn and Cookie Dough Sales – has a conservative profit.
Amazon Smile/ Fred Meyer Rewards– this is complete income.
Girls Night Out – this is a spring event that is for 7th/8th grade girls.
Sun School Pantry – we have an area in the school where families in need can shop for necessary items.
Cult∫ure Day – this is an annual event. The PTA fully funds the activities.
Field Trip Fund – we help students who can’t afford field trip expenses.
Staff and Support Staff Funding – this is to be used by staff for any extra classroom purchases
Technology – fund for replacements
PTA Education Nights – we have different speakers come in to speak on topics related to middle school years.

Cari Carr motioned to approve the budget as it stands for 2019-2020 school year. Marci Forbes seconded the motion. A full vote conducted and all are in favor of proposed budget. Budget passes as stands.

New Business
2019-2020 Standing Rules – Jessica read off standing rules to attendees. Kristi Baack-Deazley motioned to approve the standing rules. Melissa Schmidt seconded the motion. Passed unanimously.

Back to School Night – volunteers needed to fill and refill popcorn.

3. Special Projects Fund –We are giving Miss Kosmala time to get situated, so we are keeping this bucket open. Any money that will go into this bucket has not been ear-marked for anything to date.

      • PTA Clothes Closet – 9/26 Families at JMS can participate in the clothing closet. We have two assigned dates where JMS needs to find volunteers to help with this. Any gently used items can be donated to the clothing closet. Bring it into the JMS office, mark it clothing closet and the courier will pick it up. They are always looking for jeans.
      • Cookie Dough Fundraiser – order distribution -10/4
      • Library Help – The librarian is looking for a volunteer who is available to come in on a regular schedule two days a week to help reshelf books, clean up library, and help checkout in high traffic times.
      • Lunch and Recess Help – The school has almost 800 plus students, 70 staff. They have a need to have more adult bodies present in the cafeteria and outside at lunch for risk mitigation. This is a consistent ask (weekly, same time, same day).
      • JMS Staff Appreciation – We spread this out monthly during the school year. We are looking for people who are willing to lead the events for a month, January, March, May plus the two conference dates.
    • Cookie Dough Fundraiser – Kara – this is our biggest fundraiser of the year. We are in need of 10 more volunteers than we currently have.
      • 9/13 – Kickoff Assembly/ Forms Come Home
      • 9/27 – Orders due at School – please get in before the last day.
      • 10/4 – Pick up orders at Jackson
      • 10/25 – prizes will be delivered to the school.

Bernstein Bash
11/15 – Parents Night Out Fundraiser at Jackson Middle School – Multnomah Arts Center Auditorium 6pm. We are looking for someone to set up the caterer for the Bernstein Bash. The big ask for is wine valued at $15 or more and 22 oz bottles of beer valued at $3 or more.

SunSchool Coordinator – Elley Cannon – Impact NW

Sun is funded by the county. There are 90 different Sun Sights across Multnomah County. We provide universal support to the whole school. Payment for services is not required; anyone can attend. We interact with about ½ of Jackson students. Sun is a publicly funded program. This last year Jackson and Robert Gray received a 25% funding cut. Financial donations are really helpful. Food pantry is stocked monthly by the Jackson community. Cash donations typically fund the bus, instructor, supply expenses, etc. Stick to the list when donating. Kristi will create a signup custom to the inventory list Elley creates around the 15th of each month. Students can be a part of restocking the food pantry as volunteers as well. Also, looking for volunteer experts who are good at math and for sports support for the after school hours. Volunteers need to commit to one day a week.

Principal Kosmala State of the School Report

  1. Busing has been a challenge.
  2. Binder situation is being addressed.
  3. Device Policy Off and away from the time they enter the building to when they leave the building at the end of the day. They can turn on outside at end of day. These changes were made at the request of staff. Cell phones created a lot of stress in the school – between teachers and between teacher and students. Policy update is off and away to help avoid negative feedback constantly between students and parents.
  4. New Staff for the year.
    8th grade Social Studies Language Arts – Courtney Baker
    8th grade Science Teacher – .5 teacher – Ronda Baron (temporary to fill in a leave)
    Art Teacher – Jessica Hickey – Community Art
    7th grade Resource Center Teacher – Resource Center Teacher (Jackson parent)
    Assistant Principal – Karl Newsome – he will do a lot of one on one case management – Restorative Justice Systems

Coffee Chats will happen this year, just trying to get the schedule set again. Try to reflect what is being covered in PTA meeting at the chat.

Science – Schedule changes for 7th grade Science class size. At this point, the class sizes for science are averaging 40 students. We are projecting to reduce this to 34 by shifting a few teachers around.

General Meeting
June 4, 2019

The meeting was called to order on August 1, 2019 @ 5:47pm by President Jessica Christiansen. Board Members present are Marci Forbes, Kathy Jennings, Michelle Marsden, Marci Forbes, Kristin Beauchamp, Heather Kramer and Annie Lindekugel. Marci Forbes motioned to approve minutes from June 2019 meeting and Michelle Marsden seconded.

Treasurer’s Report
Checking – $31,306.83
Savings – $44,768.97

New Business

Finance – Kathy Jennings discussed funding commitment letter and proposed new budget for the school year 2019-2020.

  • Artful learning income could decrease if teacher parties are discontinued. Exploring sale of student artwork to fill the gap.

Keeping Up With Chrome – fulfilled.
Sun School Support – decided to keep the $1,000 allotment for the Sun School pantry inventory.

Jot Form- website could potentially be linking to the old jot form vs the new jot form. Jess wants to preview this before we compile packets for school.

Capitol Improvement – Pod redesign was Principal Crotchett’s idea; not sure Principal Kosmala will proceed immediately. Designating income to special projects instead.

Packing Packets Day – Our annual back to school packing packets day 8/22 from 9 am to finish.
